Moving a tenant In or Out

This page will explain how to move a tenant into a unit and the move the tenant out. The following steps will be explained:

1) Tenant Move In.

2) Tenant Move Out

3) Auto Move In of Tenants

4) Auto Vacate of Tenants

5) Tenant Transfer


Tenant Move In

Steps to move in a tenant.

1) Tenant Maintenance -> From the Property Manager menu, select
"Maintenance" and then "Tenant" to open the Tenant maintenance screen.

2) Select the Tenant to move in. Type in the Tenant code or use F6 (Finder)
to select the correct tenant. If this is a new tenant, use F7 (new record)
to add the Tenant Code and press tab.

3) If the tenant is "Prospective" (not assigned to a Property/Building/Unit), uncheck the box
next to "Prospective Tenant". When adding a new tenant, you need to uncheck
the "Prospective Tenant".

4) Assign the desired Property Code/Building Code and Unit Code.

5) Save the Tenant Record by pressing F8 (Save record).

Tenant Move Out

Steps to move out a tenant.

1) Tenant Maintenance -> From the Property Manager menu, select
"Maintenance" and then "Tenant" to open the Tenant maintenance screen.

2) Select the Tenant to move out. Type in the Tenant code or use F6 (Finder)
to select the correct tenant.

3) Active Status -> Select the "General" tab on the Tenant Maintenance screen. Un-check the
box next to "Active Flag:". This will set the tenant to "Inactive".

4) Move Out Date -> Select the "Lease" tab on the Tenant Maintenance screen. Change the
date to reflect the date the tenant is moving out of the unit.

5) Lease Expiration Date -> If the tenant is moving out before the end of the lease and is no
longer liable for the lease, change the "Lease Expiration Date:" to reflect when the lease expires.

6) Save the Tenant Record by pressing F8 (Save record).

Auto Move In

This function duplicates the Move In process explained above. The advantage of this
move in is the ability to view all tenants matching criteria selected by the user.

Steps to automate moving in of  tenants.

1) Tenant Movement -> From the Property Manager menu, select
"Maintenance" and then "Tenant Movement" to open the Tenant movement screen.

2) Select the "Auto Move In" tab.

3) Select the type of tenants to move in. To view tenants already assigned to a unit, select
"Assigned to Tenants/Owner". To view all prospective tenants select "Prospective
Tenants/Owners".

4) Select "Tenants" and/or "Unit Owners".

5) Select "Active" or "In-Active" status.

6) Click the "Scan" button to display all of the Tenants matching the criteria selected.

7) If all tenants are to be moved in, click the "Select All" button. Double click the "MoveIn"
column to select or deselect a tenant from the move in process.

8) Enter the Property Code/Building Code/Unit Code where this tenant is moving in.

9) If the lease dates have been set up, leave the box next to "Use Lease Dates" un-checked.
To assign new lease dates, un-check the box and enter the correct dates.

10) Click the "Process" button to move the tenant in the unit.

Auto Vacate

This function duplicates the Move Out process explained above. The advantage of this
move out is the ability to view all tenants matching criteria selected by the user.

Steps to automate moving out of  tenants.

1) Tenant Movement -> From the Property Manager menu, select
"Maintenance" and then "Tenant Movement" to open the Tenant movement screen.

2) Select the "Auto Vacate" tab.

3) To display all tenants whose lease will expire (or did expire) leave the Property Code,  Building Code and Unit Code fields blank. To view tenants for a specific Property, enter that Property Code.

4) Enter the beginning and ending Lease Expiration dates. All leases having an expiration date in this range will be displayed. The range is inclusive.

5) Select the appropriate tenant type.

6) Click the "Scan" button to display all of the Tenants matching the criteria selected.

7) If all tenants are to be moved out, click the "Select All" button. Double click the "Vacate"
column to select or deselect a tenant from the vacate process.

8) Enter the correct move out date.

9) To leave the tenant assigned to the property/building/unit, make the tenant inactive by selecting "Set Tenant/Unit Owners to In-Active". Otherwise select "Remove Tenants/Unit Owners from Property/Building/Unit" to make this tenant prospective.

10) Click the "Process" button to vacate the tenants.

Tenant Transfer

Use this process to assign a tenant to a new unit (even for a different property or building). The tenant will retain all of the invoices and payments from the previous unit. If the payment history is to remain separate, vacate the tenant in the previous unit and setup a new tenant for the new unit.

Steps to transfer a tenant.

1) Tenant Maintenance -> From the Property Manager menu, select
"Maintenance" and then "Tenant" to open the Tenant maintenance screen.

2) Select the Tenant to transfer. Type in the Tenant code or use F6 (Finder)
to select the correct tenant. If this is a new tenant, use F7 (new record)
to add the Tenant Code and press tab.

4) Assign the Property Code/Building Code and Unit Code of the new unit.

5) Save the Tenant Record by pressing F8 (Save record).
